This Memorandum of Understanding sets forth the terms between ASUTIL Conference organizers and registered participants. By completing registration, you agree to the following:

  1. What Your Registration Includes: Access to all conference sessions; Networking Time; Opening and closing cocktail events; Gala Dinner; coffee breaks and lunches; and the Official Social Activity (capacity limited; advance registration required. Details will be communicated to registered delegates in due course).
  2. Payment Terms (Net Amount): All registration fees must be received net of any bank charges, transfer fees, intermediary fees, withholding taxes, or payment-related costs. Any costs incurred as a result of the selected payment method (including bank transfers) are solely the responsibility of the participant. Registrations will be considered fully confirmed only once ASUTIL receives the full net amount invoiced.
  3. Sponsorship Agreements: Sponsorship conditions may differ from these general terms. Any exception or additional benefit will be detailed exclusively in the corresponding sponsorship agreement.
  4. Venue and Event Policies: Attendees must comply with ASUTIL guidelines and the policies of the official host venue. Failure to comply may result in removal from the event without compensation.
  5. Registration Policy: Registration fees are non-refundable. Exceptions may be evaluated solely by the ASUTIL Board of Directors under exceptional or humanitarian circumstances.
  6. Transferring Your Registration: Registrations may be transferred to another person only if:
  • The registration category remains unchanged (member / non-member).
  • ASUTIL grants prior written approval.
  1. Limited Capacity and Pricing: Attendance is limited. Early Bird and special rates are subject to availability and deadlines. Registrations are confirmed only upon full payment; reservations are not accepted.
  2. Program Modifications: ASUTIL reserves the right to adjust the program, speakers, schedule, or activities due to operational or unforeseen circumstances. Any relevant changes will be communicated promptly.
  3. Liability and Insurance: ASUTIL and its partners accept no responsibility for personal injury, loss, or damage to property. Attendees are strongly advised to secure adequate travel and health insurance.
  4. Photography and Media Use: Photography and video recording may take place for ASUTIL’s promotional purposes. Requests to opt out will be respected. Content will not be sold or distributed to third parties.
  5. Code of Conduct: Attendees are expected to behave professionally and respectfully. Harassment, discrimination, or disruptive conduct will not be tolerated.
  6. Eligibility: Participation is restricted to individuals aged 18 or older, including companions. ASUTIL complies with local laws and regulations applicable at each host destination. Certain activities, including but not limited to the consumption of alcoholic beverages, may require a higher legal age or additional restrictions in accordance with local legislation.
  7. Food & Beverage: Meals and refreshments are provided by approved suppliers. While reasonable efforts are made, specific dietary requirements cannot be guaranteed.
  8. Acknowledgement of Agreement: By registering, you confirm that you have read, understood, and accepted these Terms & Conditions.
